ROLE
Assists the BD & Controlling team in reviewing project contracts, managing invoicing and task workflows on the ERP system (Odoo), and supporting compliance with internal time-tracking processes. Offers a hands-on opportunity to gain practical experience in corporate finance and controlling within a dynamic and international working environment.
DUTIES & RESPONSIBILITIES
1. Contract Review & Documentation
Contract Review
• Support in reviewing project contracts for correctness in value, payment terms, and scope of services.
• Compare signed contracts with original proposals or quotations to identify any discrepancies.
• Assist in documenting contract summaries for internal financial tracking.
• Coordinate with Sales teams to clarify unclear contract terms.
2. ERP System – Task & Invoice Management
Task & Invoice Processing
• Import project-related tasks and deliverables into the ERP system (Odoo).
• Enter incoming supplier invoices digitally; check correctness against project budget and approvals.
• Coordinate with other departments to retrieve missing invoices.
• Support the issuance of outgoing invoices, ensuring consistency with payment terms and actual project progress.
• Maintain proper filing and naming of digital invoices and related backup documents.
3. Timesheet & Compliance
Compliance Monitoring
• Monitor and support compliance with internal time-tracking policies (correct allocation of hours to projects, deadlines, and categories).
• Assist in generating timesheet reports for controlling and billing purposes.
• Flag inconsistencies or missing data to relevant team leaders or project managers for correction.
• Perform other tasks as assigned by Line Manager.
EXPERIENCE & KNOWLEDGE
• Currently pursuing a degree in German Language, Business Administration, Accounting, or a related field.
• Experience with data handling or bookkeeping is a plus.
• Familiarity with Microsoft Office (Excel, Word).
• Familiarity with Power BI or ERP systems (SAP, Odoo) is a plus.
• Basic understanding of contract terms (payment terms, cost allocations, revenue recognition) is a plus.
• Basic knowledge of financial principles and accounting standards (HGB, IFRS) is a plus.
• Prior experience in a civil engineering, structural design, or construction-related company is an advantage.
